What to write in a farewell card for a colleague
The best farewell message sounds like you and could only have been written for that colleague. You do not need a grand speech—one real detail is usually enough.
Thoughtful group cards, made easier
Use this four-part farewell message formula
- Open warmly.Use their name and acknowledge the change: “I can't believe Friday is already your last day.”
- Name something specific.Mention a habit, project, kindness or lesson you genuinely remember.
- Say what it meant.Explain the effect: they made meetings calmer, helped you grow or made a difficult project enjoyable.
- End with a forward-looking wish.Wish them well in the new role, move, break or adventure—and offer to stay in touch only if you mean it.
Examples for different working relationships
- Close teammate: “Priya, the launch weeks would have been much harder without your calm head and terrible vending-machine coffee. Thank you for always making time to help. I will miss working beside you and cannot wait to see what you build next.”
- Manager: “Thank you for trusting me with the Atlas project and for giving feedback that made the work better without taking it over. I have learnt a great deal from you. Wishing you every success in the new role.”
- Someone you know less well: “It has been a pleasure working with you, especially during the customer workshop in May. Your thoughtful questions always moved the conversation forward. All the best for what comes next.”
- Remote colleague: “Even from three time zones away, you made the team feel connected. I will miss your thoughtful notes and the way you always made space for quieter voices. I hope the next team appreciates you as much as we have.”
Match the tone to the relationship
Professional does not have to mean cold. If you worked closely together, use the language you would naturally use in conversation. If the relationship was formal, focus on the person's contribution and your good wishes rather than forcing familiarity.
Humour works when it is kind, shared and safe to read in front of other people. Leave out jokes about performance, redundancy, age, alcohol, office gossip or why the person is leaving.
| Situation | Emphasise | Avoid |
|---|---|---|
| Close colleague | A shared memory and what you will miss | Turning the whole message into an inside joke |
| Manager or mentor | What you learnt and how they helped | Flattery you would never say aloud |
| Brief acquaintance | A real interaction or positive quality | Pretending you were close |
| Difficult departure | Respectful thanks and a neutral good wish | Speculation about what happened |
What to write when you feel stuck
Answer one question: what will be different after this person leaves? Perhaps nobody will remember the edge cases, bring biscuits on release day or ask the question everyone else avoided. That concrete gap is often the heart of your message.
